What Navan actually does

Navan is two products sold as one. The travel half is a booking tool employees use directly: flights, hotels, cars and rail, searched inside an interface that already knows the company's policy. Instead of routing every trip through an approver, the policy sets a budget per route or city, and anything inside it books without asking. Anything outside it needs a reason, which the finance team sees later as an exception rather than as a request to process. Travel agents are available around the clock for the parts software handles badly, such as a cancelled connection at midnight.

The expense half picks up where the card transaction lands. Receipts are photographed and read automatically, spend is categorised, the transaction is matched, and policy violations are flagged before anyone builds a report. It works with Navan's own corporate cards and with existing Visa, Mastercard and American Express programmes, and reimburses personal card spend the same way. Employee records sync in from Workday, BambooHR or Rippling; coded transactions sync out to NetSuite, Sage Intacct or Xero. The commercial trick is that travel booking is free for companies under three hundred employees, because Navan is paid commission by the travel suppliers, and only expense seats beyond the first few carry a subscription.

Who it's for

Navan suits a company where travel is regular but not enormous, and where the finance team is small enough that chasing receipts is a genuine drain: a scaling startup with a field sales team, a consultancy flying to client sites, a company with two offices and constant movement between them. Under three hundred employees, the travel side costs nothing, which makes the decision unusually easy compared with traditional travel management companies charging per trip.

It is a weak fit for companies where travel is rare and unplanned, since the policy machinery adds process nobody needs, and for teams that only want expense management, where the per-seat cost sits above the leaner competitors. Organisations with negotiated supplier contracts should also model the fares carefully before switching.

How it compares

TravelPerk is the closest peer and the better option in Europe, with stronger rail coverage and a flexible cancellation product, but it charges per booking rather than giving travel away. Brex and Ramp win on the expense and card side alone, with faster closes and no per-seat expense fee, but their travel booking is thinner. SAP Concur remains the enterprise incumbent, more configurable and considerably more painful to use, which is why Navan's booking flow keeps winning satisfaction awards. For a mid-sized company, Navan's argument is that one system holds both halves.

Verdict

Navan is the most convincing travel and expense combination available to a company that is not large enough for a dedicated travel manager, and the free travel tier makes trialling it close to costless. The interface is quick, the receipt handling is reliable, and the accounting integrations do the reconciliation work properly. The caveats are worth taking seriously: rates sometimes exceed what the same booking costs direct, booking failures and price discrepancies are the dominant complaint in reviews, and escalation past frontline support is reported as slow. Spot-check fares for a month before moving all travel across, and it earns its place.
