What it is and who it's for

AutoEntry is a data-capture tool that pulls line data off invoices, receipts, bank statements and supplier statements, then publishes it straight into your ledger. Sage acquired it in 2017, but it stays software-agnostic: it pushes data to Xero, QuickBooks Online, Sage 50 and Business Cloud, FreeAgent, KashFlow and Reckon. The natural fit is a solo bookkeeper or a small-to-mid practice that wants pay-as-you-go capture without locking into a per-client contract, with unlimited users, clients and cloud storage on every plan.

Where it's strong

The credit model is the headline strength: you buy a monthly bucket of credits and spend them only on documents you actually process, so a quiet month doesn't cost you a flat per-client fee. Supplier-statement matching is genuinely useful for reconciling against captured invoices, and bank/credit-card statement extraction handles a job most teams otherwise type out by hand. It's a rolling monthly subscription you can change or cancel up to 24 hours before renewal, and because the connected ledgers are MTD/HMRC-recognised, the output stays compliant.

Where it falls short

The pricing structure punishes the work you most want automated. A line-item invoice costs two credits instead of one, supplier statements cost two, and bank statements run three credits per page, so detailed capture burns through a plan far faster than the headline credit count implies. Processing is not real-time either: the company itself tells you to allow up to 24 hours before chasing a file, which rules it out for same-day workflows.

The bigger concern for a practice committing long-term is momentum. Comparison reviews repeatedly describe the product as having stagnated since the Sage acquisition, with little headline feature development and gaps like no automatic PDF splitting that rivals have closed. As with any OCR tool, extraction accuracy also tracks document quality, so crumpled receipts and poor scans still need a human to verify before they post.

Pricing and value

Plans run from Bronze at $13/month for 50 credits up to Sapphire at $469/month for 2,500, with roughly 25 free trial credits to test extraction first. Unused credits roll over for up to 90 days, which softens volume spikes. The honest comparison: for plain one-credit invoices and receipts the value is competitive, but once you lean on line items and bank statements, Datamolino and some Dext plans can work out cheaper for the same throughput.

Verdict

AutoEntry remains a dependable, low-commitment capture tool that's hard to beat for irregular or lower-volume document loads where flexibility matters more than speed or cutting-edge features. If your work is line-item-heavy, bank-statement-heavy, or needs near-instant turnaround, price out Dext or Datamolino against it before committing, because the per-document maths and the slower roadmap are where this one loses ground.
